Onboarding
Welcome to the BSYSC Coaching Pipeline. To protect our athletes and maintain an elite standard of player safety, all prospective Head Coaches and Support Staff must complete this comprehensive vetting and training process before being assigned to a roster.
The Pledge Window
BSYSC requires all Head Coaches, both competitive and recreational, to formally pledge their intent to return for the upcoming seasonal year. This exclusive window secures commitments and establishes the architectural framework of returning team inventory before the public market opens.
- Head Coach Onboarding: All prospective and returning Head Coaches must complete the Coaching Staff Onboarding form.
- Support Staff Protocol: Support staff are initially barred from this step. Once the Head Coach completes registration and is fully compliant, they may extend offers to support staff, who will then utilize the same website link to onboard.
Approval & Architecture
BSYSC Operations processes the pledges and builds the digital framework for the upcoming season.
- Approval Workflow: Operations reviews onboarding requests. Head Coaches receive an automated auto-responder, followed by an official Approval or Denial.
- GotSport Generation: Approved returning teams are retained in GotSport (U-brackets will automatically age-up on August 1st based on the STYSA matrix). Player rosters are wiped to zero to create empty inventory shelves.
- Portal Access: Approved coaches receive their official GotSport registration links and are granted access to the Coaches' Hub and Tryout Portals.
The Registration Market
Player registration officially opens to the public on April 15th and closes strictly on July 15th.
Coach Compliance Execution
Because US Youth Soccer risk management systems reset for the new seasonal year on May 31st, coaches must complete compliance after this date.
- Requirements: Background Check, Heads Up, and SafeSport must be completed in GotSport for the new seasonal year.
Dashboard, Sign-Off & Uniforms
Coaches track their roster formation live via the proprietary BSYSC Team Formation Dashboard. (No direct emails to Operations to check registration status).
- The Sustainable Minimum: Every team must reach a minimum registered player count to cover league and club overhead. Teams failing this metric will not form. Other teams will not subsidize deficits.
- Team Sign-Off: At the close of registration, once the sustainable minimum is met, coaches officially "Sign-Off" on their team.
- Uniform Procurement: During Sign-Off, coaches select their uniform vendor. If using the Club Vendor, coaches input player jersey numbers for BSYSC Operations to export to the vendor.
Roster Sync & Pre-Game Verification
Final compliance protocols take effect to ensure league readiness.
- GotSport Sync: Signed-off teams are officially uploaded to GotSport, reflecting a 1:1 match with the Formation Dashboard.
- League Registration: BSYSC Operations registers compliant teams to the pertinent leagues (at BSYSC discretion).
- Coach Verification: Before the first game, Head Coaches verify all players have STYSA-approved Age Verification documents, U18/U19 SafeSport syncs, and financial compliance.
League Jurisdiction & Firewall
Once BSYSC Operations successfully registers a signed-off team to their corresponding league, the club's administrative jurisdiction ends.
- Coach Responsibility: Head Coaches are completely responsible for educating themselves on the specifics of their league (STYSA, ELHYSA, etc.), including requirements, guidelines, and regulations.
- Logistics & Scheduling: Coaches must attend bracketing meetings, rescheduling workshops, and handle all direct communications with their respective league operators.
Pre-Season Dial-In & "Rule of Wednesday"
Between the close of registration on July 15th and the first game of the season, coaches are granted an extensive grace period to dial in their rosters.
- Roster Finalization: Coaches must utilize this block of time to submit all necessary Roster Update tickets via the Coaches' Hub and ensure Age/SafeSport compliance in GotSport.
Franchise Communication & Practice Hub
The Head Coach is the sole point of operational contact for their team's parents starting the moment a player appears on the Dashboard.
- Parent Management: Coaches must proactively set expectations regarding practice times, game days, and weather cancellations. Parent emails to Operations asking "Is practice canceled?" will be ignored.
Support Staff Liability Mandate
To ensure team continuity and to shield the club from liability, every single team—both recreational and competitive—MUST possess registered support staff in addition to the Head Coach.
The Pipeline Steps
Fill Out This Form
Submit your basic info, coaching history, and team intent to operations for review.
GotSport Registration
Head Coaches: Once approved by Operations, you will receive an official email with your GotSport link.
Support Staff: An approval request will be sent to your Head Coach. Once they approve, you will receive your GotSport link.
Background Check
Submit your mandatory national background screening through the GotSport portal.
SafeSport Training
Complete the federally mandated SafeSport certification modules online.
Heads Up Training
Complete the CDC concussion awareness and prevention training modules.
Grassroots Training
Head Coaches: Taking the US Soccer Grassroots course for your specific age and format is a requirement.
Support Staff: Taking the Grassroots course for your age and format is highly recommended.
Head coaches can submit their grassroots certificates here after they've completed the onboarding process.
Get Rostered
BSYSC Operations will officially add you to your team's roster once all of the above requirements are fully cleared.
Field Allocation
Head Coaches: Once rostered, pick your practice allocation field and schedule through the BSYSC Coaches Hub.
