Name & Structure

The name of this organization is the Baytown Saints Youth Soccer Club (BSYSC), a Texas 501(c)(3) non-profit organization. BSYSC operates strictly as a youth sports infrastructure platform. Its primary mandate is to provide digital registration routing, state sanctioning, and field infrastructure to autonomous volunteer teams.

Platform, Not Parent

BSYSC operates exclusively as an infrastructure platform. The Club provides the fields, the digital tools, and the Association access. BSYSC does not act as a concierge service or a parent to its members. Volunteer Head Coaches and their support staff assume one hundred percent (100%) responsibility for the daily operations, communication, and internal management of their individual teams.

Executive Officers & Operations

BSYSC shall be governed by exactly three (3) elected Executive Officers.

• President: Serves as the General Manager of the Club.
• Secretary: Keeps corporate records.
• Treasurer: Receives and routes funds.

Officers shall serve two-year terms. Any other role will be classified as Operations and is set up by the President strictly to execute system logistics. Operational roles hold no executive authority, serve entirely at the discretion of the President, must be renewed every two years, and may be dissolved at any time by presidential directive.

Asynchronous Operations & Elections

BSYSC operates as an asynchronous, digital entity. Operations, registrations, general club management, and biennial elections are conducted continuously via the digital gateway. To maintain operational continuity, elections are staggered: the President and Treasurer are elected concurrently, while the Secretary is elected on alternating odd-numbered years. Voting rights are strictly limited to the biennial election of the Executive Officers, with one active team equaling one vote cast by the registered volunteer Head Coach. Voting weight and eligibility are authenticated exclusively through the Club’s digital gateway using the Head Coach's registered email and active Team ID.

Team Formation & The Absolute Rule

BSYSC utilizes automated digital registration pipelines to form seasonal rosters and adheres strictly to the "No Coach, No Team" absolute rule. If a roster of registered players fails to secure a volunteer Head Coach from within its own parent group, the system will allow that team to fail. The Club does not provide concierge recruiting services, manufacture coaches, or rescue failing rosters. Players on un-coached rosters will be issued an automated refund, minus digital processing fees, and the team will be dissolved.

Financial Automation & Zero Debt

BSYSC does not extend credit, utilize payment plans, or enforce mandatory volunteer fundraising. All registration fees are collected upfront via digital merchant processing prior to roster validation. Teams wishing to purchase customized gear, enter external tournaments, or secure outside sponsorships do so entirely as independent operators without utilizing Club administrative resources.

Discipline & Boundary Enforcement

BSYSC does not adjudicate internal team disputes regarding playing time, coaching styles, or parent disagreements; these must be handled exclusively by the volunteer Head Coach. Any disciplinary incidents occurring during sanctioned external match play will be routed directly to, and handled by, that specific governing body. Any parent, coach, or spectator whose conduct threatens the Club's 501(c)(3) standing, facility access, or the safety of officials will have their platform access immediately and permanently revoked via digital communication.
